1. Introduction and scope
This Privacy Policy explains how the association “Piedzīvojumu sacensību apvienība” (registration No. 40008154479, registered address: Miera iela 4-17, Ļaudona, Ļaudonas pag., Madonas novads, LV-4862, Latvia; hereinafter – the Controller) processes personal data and uses cookies on the website rogainings.lv (hereinafter – the Website) and in connection with rogaining events organised by the Controller.
This document combines the privacy notice, information about data processing in events, cookie rules and the rights of data subjects.
By visiting the Website or participating in rogaining events, you confirm that you have read and understood this Policy.
2. What personal data we process
2.1. Identification data
- name and surname;
- date or year of birth;
- gender.
2.2. Contact data
- e-mail address;
- phone number;
- postal address (for invoicing where applicable).
2.3. Participation data
- team name and team members;
- chosen course / category;
- rogaining points, result, time, penalties;
- GPS tracks (if submitted by the team).
2.4. Photos and videos
Photos and video footage of you taken during events, including drone footage, interviews, TV and media materials where you may appear.
2.5. Payment data
Information about participation fee payments: payment confirmation, date and amount. The Controller does not process bank card data – such data are processed by the payment service provider.
2.6. Technical data and cookies
- IP address;
- browser type and version;
- operating system and device type;
- cookie settings and choices;
- aggregated statistics on the use of the Website (where analytical cookies are enabled).
3. Purposes and legal grounds for data processing
3.1. Organising rogaining events and managing participation
We use your data in order to:
- process your registration for the event;
- ensure participation of you / your team in the competition;
- communicate with teams about event details and changes;
- process results, points and punching data;
- arrange prize-giving and awards.
Legal basis: performance of a contract (GDPR Article 6(1)(b)).
3.2. Communication and replies to enquiries
We use your data to answer your questions, provide information about events and ensure effective communication with you.
Legal basis: legitimate interests (GDPR Article 6(1)(f)).
3.3. Photos, video and public representation of events
Rogaining events are public sports events. During the events you may be photographed, filmed or otherwise recorded, and such materials may be used for publicity purposes, including:
- on social media;
- on television;
- in printed media;
- on websites and online media;
- in sports archives and photo galleries.

3.4. Marketing communication
With your consent, we may send you information about future rogaining events, related activities, special offers and similar events that may be of interest to you.

3.5. Statistics and improvement of events
We may use aggregated data for statistical and analytical purposes, to understand participation trends and improve the quality and safety of future events.

We may process and store data where necessary to comply with legal obligations, for example accounting and tax requirements or information requests from public authorities.

4. Children’s data
If you register a child (a person under 18 years of age) for participation in an event, we process the child’s data and the data of the parent or other legal guardian for organisational and safety purposes and to comply with applicable law.
5. Data retention periods
- event registration and participation data – up to 3 years after the event;
- results and sports archives – long term to ensure continuity of sports history;
- accounting data (invoices, etc.) – 10 years in line with legal requirements;
- marketing data – until your consent is withdrawn;
- cookies – according to their specific lifetime (see section 7.4).
6. Data recipients
Your data may be shared with:
- timekeeping and results processing service providers;
- IT and hosting service providers;
- payment service providers;
- insurance companies in case of insured events;
- legal service providers (law firms) where necessary to protect our interests;
- courts, law enforcement and supervisory authorities where required by law.
We do not disclose your data to third parties for their own marketing purposes unless you have explicitly consented.

7.1. What are cookies?
